Free Invoice Generator

Build a VAT-compliant UK invoice, preview it live and download it as a PDF, free, with no signup.

A UK invoice must show a unique number, your name, address and contact details, the customer’s name and address, what you are charging for, the supply date, the invoice date, each amount and the total owed. VAT-registered businesses must add their VAT number, the rate (usually 20%) and the VAT amount. This generator builds all of that as a PDF.

Your details

Sole traders must show their own name and business address. If you are VAT registered, add your VAT number: the VAT breakdown is shown automatically. Saved in this browser and reused across all five document tools.

Only if you are VAT registered.

Limited companies must show this.

Resized to 400px wide and kept under 150 KB. Stored in this browser only; not included in share links.

How to use the invoice generator

What must a UK invoice legally include?

  • A unique identification number that follows on from the last invoice
  • Your company name, address and contact information
  • The company name and address of the customer
  • A clear description of what you are charging for
  • The date the goods or service were provided (the supply date)
  • The date of the invoice
  • The amount(s) being charged
  • The VAT amount, if applicable
  • The total amount owed

Sole traders must also show their own name, any business name they trade under, and an address where legal documents can be delivered. Limited companies must use the full company name as it appears on the certificate of incorporation, and if you choose to name directors you must name all of them.

What extra does a VAT invoice need?

Once you are VAT-registered, which is compulsory above £90,000 of rolling 12 month turnover, every invoice must also carry your VAT number, the VAT rate for each item, the unit price, the total excluding VAT and the total VAT. A simplified invoice without the customer’s details is allowed for sales under £250 including VAT. Tick “VAT-registered” in the form and the generator adds every one of these fields; leave it unticked and no VAT lines appear, because showing VAT when you are not registered is an offence.

How do I fill in the invoice generator?

  1. Enter your details once. They are saved in your browser, so the next invoice is pre-filled.
  2. Add the customer, the invoice number (the generator suggests the next one) and the dates.
  3. Add a line per item or day worked: description, quantity, unit price and VAT rate.
  4. Set payment terms, your bank details and any note, then pick one of the four templates.
  5. Download the PDF, print it or copy a share link. Nothing is uploaded to a server.

What does a worked example look like?

An electrician does 2 days of work at £300 a day and supplies £150 of materials:

Invoice INV-0042
DescriptionQtyUnit priceAmount
Labour, rewiring kitchen2£300.00£600.00
Materials: cable, sockets, consumer unit1£150.00£150.00
Subtotal excluding VAT£750.00
VAT at 20%£150.00
Total due£900.00

If the electrician were not VAT-registered the invoice would stop at £750.00. Use the VAT calculator to check a figure, and read how to invoice as a sole trader for numbering, payment terms and chasing.

Frequently asked questions

Do I need to be VAT-registered to send an invoice?
No. Any business can invoice, and most sole traders start below the £90,000 registration threshold. Until you are registered you must not show a VAT number, a VAT rate or a VAT amount on the invoice. The generator hides those fields unless you tick VAT-registered.
How should I number my invoices?
Use one sequence that never repeats or skips, for example INV-0001, INV-0002. HMRC expects the sequence to be unbroken, so if you cancel an invoice keep the number and issue a credit note rather than reusing it. Prefixes by year or customer are fine as long as the sequence inside them stays unbroken.
What payment terms should I put on an invoice?
State a due date rather than a vague phrase. If you agree nothing, the law gives a business customer 30 days from receiving the invoice. Shorter terms such as 14 days are common for small jobs, and you can add that statutory interest applies to late payment.
Is a PDF invoice legally valid?
Yes. There is no requirement for paper or a signature; an invoice is valid as long as it shows the required details. Keep a copy of every invoice you send for at least five years after the 31 January filing deadline for that tax year, or six years if you are VAT-registered.
Can I invoice in a currency other than pounds?
Yes, choose the currency in the form and every total updates. If you are VAT-registered and invoice in another currency, the VAT amount must also be shown in pounds, so the generator prints the sterling VAT figure alongside. Payment in a foreign currency usually costs you a bank fee, so state who bears it.
