Free Invoice, Quote and Receipt Templates
Download invoice, quote and receipt templates as Word, Excel and Google Sheets files.
The templates library gives you invoice, quote and receipt templates as Word (.docx), Excel (.xlsx) and Google Sheets files, free and with no signup. The Excel and Google Sheets versions total the lines and add VAT at 20% with formulas; the Word version is for typing over. For a finished PDF in a minute, use the online generator instead.

How to use the templates library
Which format should I choose?
Pick the one that matches how you work, not the one that looks best. All three carry the fields a UK invoice must show: a unique number, your name, address and contact details, the customer’s, a description, the supply and invoice dates, the amounts and the total, with VAT lines you delete if you are not registered.
| Format | Totals | Best for |
|---|---|---|
| Word (.docx) | Typed by hand | One-off invoices, letters and quotes with lots of text |
| Excel (.xlsx) | Formulas total lines and VAT | Regular invoicing on a laptop, saving a copy per customer |
| Google Sheets | Formulas, same as Excel | Invoicing from a phone or shared with a partner or bookkeeper |
How do the Excel and Google Sheets formulas work?
Each line multiplies quantity by unit price. The subtotal adds the lines, the VAT cell multiplies the subtotal by the rate in the rate cell (set to 20% but editable), and the total adds the two. Change the rate cell to 0 if you are not VAT-registered, or delete the VAT row entirely. The cells are not locked, so take care not to type a number over a formula; if a total stops updating, that is usually why.
How do I make a copy in Google Sheets?
- Open the Google Sheets link. It opens read-only in your browser.
- Choose File, then Make a copy, and give it a name such as Invoices 2026.
- The copy is in your own Google Drive and fully editable. Duplicate the tab for each new invoice.
- To send it, choose File, Download, PDF, and attach the PDF to your email.
How should I fill in the template?
- Replace the placeholder business details once and save the file as your master copy.
- Number every invoice in one unbroken sequence; the template starts at INV-0001.
- Enter the supply date and the invoice date separately, because they often differ.
- State a due date and your bank details. Add that statutory interest applies to late payment if you want to.
- Save each finished invoice as a PDF before sending, so the customer cannot edit it.
When should I use the online generator instead?
Use the invoice generator when you want a PDF without opening a spreadsheet, when you need a credit note or receipt that references an earlier invoice, or when you are VAT-registered and want the VAT fields handled for you. It remembers your details in your browser, numbers invoices for you, offers four designs and prints the VAT summary that a full VAT invoice needs. Templates suit people who like to keep everything in one spreadsheet, or who are nowhere near the £90,000 VAT threshold and want something simple. Both are free and neither needs an account.
Frequently asked questions
- Are the templates free to use for my business?
- Yes. Download them, change anything you like and use them for as many invoices as you want. There is no licence fee, no watermark and no signup. The only thing we ask is that you do not resell them as templates.
- Do the templates work in LibreOffice or Numbers?
- The .docx and .xlsx files open in LibreOffice, Apple Pages and Numbers, and the formulas in the spreadsheet use only basic SUM and multiplication, so they survive the conversion. Check the totals the first time you open the file. If the layout shifts, the Google Sheets version is a safe fallback.
- How do I add my logo?
- In Word, click the logo placeholder and choose Insert, Pictures. In Excel use Insert, Pictures and drag the image to the top left cell. In Google Sheets use Insert, Image, Image in cell. Keep the logo under 300 pixels wide so the invoice still fits on one page.
- Does the template meet HMRC requirements for a VAT invoice?
- Yes, if you fill in every field: it has places for your VAT number, the VAT rate per line, the net total, the VAT total and the gross total. Leave the VAT fields blank or remove them if you are not registered. Showing VAT when you are not registered is an offence.
- Can I convert a quote template into an invoice?
- In a spreadsheet, duplicate the quote tab, change the title to Invoice and give it the next invoice number. Keep the quote number as a reference line. The online quote generator does this with one click if you would rather not edit by hand.
