What £2,500 looks like with and without VAT

An invoice for £2,500 is a realistic size for a short project, a piece of equipment or a quarter of bookkeeping fees. At the standard rate the VAT is £500.00, taking the total to £3,000.00; that VAT is yours to collect and pay over to HMRC, less whatever input VAT you have incurred on your own purchases.

When £2,500 is the gross figure, say a fixed price agreed with a customer who does not care how it is split, the net is £2,083.33 and the VAT is £416.67. That is the number your accounts software should show in the VAT column. If the work was reduced rated, for example certain energy saving installations, the VAT inside £2,500 would be £119.05 and the net £2,380.95.

If you are on the Flat Rate Scheme the maths changes: you still charge your customer £3,000.00, but you pay HMRC a fixed percentage of that gross figure rather than £500.00 less input VAT. For a £2,500 job that can mean keeping a little of the VAT, or paying more if your sector rate is high or you count as a limited cost business. The flat rate tab on the main calculator runs both numbers side by side.
