What £3,000 looks like with and without VAT
Invoicing a client for a round £3,000 is common for project work, retainers and monthly fees. On a standard-rated invoice you add £600.00 of VAT, so the client pays £3,600.00 and you later pass the £600.00 to HMRC, less any input VAT you have paid on your own costs in the same quarter.
When £3,000 is the gross figure, say a fixed price agreed with a customer who does not care how it is split, the net is £2,500.00 and the VAT is £500.00. That is the number your accounts software should show in the VAT column. If the work was reduced rated, for example certain energy saving installations, the VAT inside £3,000 would be £142.86 and the net £2,857.14.
If you are on the Flat Rate Scheme the maths changes: you still charge your customer £3,600.00, but you pay HMRC a fixed percentage of that gross figure rather than £600.00 less input VAT. For a £3,000 job that can mean keeping a little of the VAT, or paying more if your sector rate is high or you count as a limited cost business. The flat rate tab on the main calculator runs both numbers side by side.
