What £5,000 looks like with and without VAT
Invoicing a client for a round £5,000 is common for project work, retainers and monthly fees. On a standard-rated invoice you add £1,000.00 of VAT, so the client pays £6,000.00 and you later pass the £1,000.00 to HMRC, less any input VAT you have paid on your own costs in the same quarter.
When £5,000 is the gross figure, say a fixed price agreed with a customer who does not care how it is split, the net is £4,166.67 and the VAT is £833.33. That is the number your accounts software should show in the VAT column. If the work was reduced rated, for example certain energy saving installations, the VAT inside £5,000 would be £238.10 and the net £4,761.90.
If you are on the Flat Rate Scheme the maths changes: you still charge your customer £6,000.00, but you pay HMRC a fixed percentage of that gross figure rather than £1,000.00 less input VAT. For a £5,000 job that can mean keeping a little of the VAT, or paying more if your sector rate is high or you count as a limited cost business. The flat rate tab on the main calculator runs both numbers side by side.
