How do boiler engineers usually invoice?
Boiler engineers quote installations as a package price, take a deposit of around 30% when the boiler is ordered, and invoice the balance on the day it is commissioned. Breakdown repairs are charged as a diagnostic call-out plus parts, invoiced immediately so the customer can pay before the engineer leaves. Boiler cover companies and letting agents are invoiced monthly at agreed rates.
Boiler engineers in this example give the customer 7 days to pay, after a 30% deposit taken before the work starts. Hourly rates run from £55 to £90. A full day is typically £340 to £500.
What should a boiler engineer put on an invoice?
Beyond the legal basics, boiler engineers should:
- Write the boiler make, model, serial number and warranty length on the invoice; it is what the manufacturer asks for.
- Show the Gas Safe notification reference and the Benchmark commissioning date.
- Separate the diagnostic call-out from parts on repair invoices.
- For cover companies, include their job reference and the agreed labour rate.
Every UK invoice, whatever the trade, must also show:
- a unique, sequential invoice number
- your business name and address (and company number if you trade as a limited company)
- the client’s name and address
- the invoice date and, for VAT invoices, the date of supply if different
- a clear description of each item of work or goods
- the amount due and when it must be paid
- your VAT number, the VAT rate per line and the VAT total, if you are VAT registered
Do boiler engineers charge VAT?
Construction work for a contractor falls under CIS: the contractor deducts 20% (30% if you are not CIS registered) from the labour element before paying you, so show labour and materials on separate lines. If you are VAT registered and the contractor is too, the domestic reverse charge applies and you charge no VAT; write "Reverse charge: customer to account for VAT" on the invoice. Work for private householders is outside both rules. Below the £90,000 registration threshold you charge no VAT at all.
On the Flat Rate Scheme the sector for boiler engineers is usually “General building or construction services” at 9.5% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions
- How much does a boiler engineer charge for a call-out?
- A diagnostic visit costs £80 to £130 in 2026, usually covering the first hour, with parts and further labour on top. Out-of-hours rates can double that. State on the invoice whether the call-out fee has been included or credited against the repair.
- Do boiler engineers charge VAT on a new boiler?
- A VAT-registered engineer charges 20% on the boiler and the labour in an existing home. Boilers installed in a new dwelling are zero rated. Heat pumps are zero rated under the energy-saving materials relief until March 2027, but a gas boiler is not. Below £90,000 turnover there is no VAT.
- Is a boiler swap under CIS?
- Only when a contractor pays you; installing a heating appliance is a construction operation and 20% is deducted from labour. Homeowners, landlords and boiler cover companies that are not contractors make no deduction. Show the boiler as a materials line so it is excluded from any deduction.
