How do business coaches usually invoice?
Business coaches invoice a monthly programme fee in advance, usually by direct debit or card, with the sessions included and the support between them described, plus day rates for planning days and quarterly fees for group programmes. Clients are business owners who treat the fee as a business expense, so a proper VAT invoice matters more than in life coaching. Minimum terms of three to six months are common and should be referenced.
Business coaches in this example give the customer 14 days to pay. Hourly rates run from £100 to £250. A full day is typically £600 to £1,500.
What should a business coach put on an invoice?
Beyond the legal basics, business coaches should:
- State the sessions, their length and the support included in the monthly fee.
- Reference the programme start date and minimum term on each invoice.
- Invoice planning days and group programmes separately from one-to-one coaching.
- Collect by direct debit on the first of the month and state the date on the invoice.
Every UK invoice, whatever the trade, must also show:
- a unique, sequential invoice number
- your business name and address (and company number if you trade as a limited company)
- the client’s name and address
- the invoice date and, for VAT invoices, the date of supply if different
- a clear description of each item of work or goods
- the amount due and when it must be paid
- your VAT number, the VAT rate per line and the VAT total, if you are VAT registered
Do business coaches charge VAT?
You only charge VAT once registered, which is compulsory when taxable turnover passes £90,000 in any rolling 12 months. Below that, show no VAT line and no VAT number. Once registered, these services are standard rated at 20% for UK clients; services to business clients outside the UK are generally outside the scope of UK VAT.
On the Flat Rate Scheme the sector for business coaches is usually “Management consultancy” at 14% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions
- How much do business coaches charge?
- Monthly programmes of £400 to £1,500 in 2026 for two sessions a month, planning days at £600 to £1,500, and group masterminds at £200 to £500 a month. Hourly rates for ad hoc sessions are £100 to £250. Most coaches require a three or six month commitment.
- Should business coaching be invoiced in advance?
- Yes, monthly in advance by direct debit. It matches the commitment the client has made and avoids chasing. Put the month covered and the sessions due in it on the invoice so the client's accountant can allocate the cost.
- Do business coaches charge VAT?
- Once registered above £90,000 turnover, yes at 20%. Most clients are VAT registered businesses who reclaim it, so registration costs you little. Business coaching generally sits in the management consultancy flat rate sector at 14%.
