Gas engineer invoice template

A worked example for gas engineers in the construction and building trades category, with 2026 prices and the VAT rules that apply.

A gas engineer invoice should show a unique invoice number, your name and address, the client's details, the date, each item of work with its price, and the total due. Gas engineers typically allow 14 days to pay and take a 30% deposit. VAT at 20% is added only if you are VAT registered.

How do gas engineers usually invoice?

Gas engineers invoice fixed prices for services, safety checks and appliance connections, often the same day with the CP12 or service record attached. Landlords and letting agents are the repeat customers, paying monthly on 14 or 30 day terms with the property address on each line. Boiler replacements are invoiced with a deposit when the boiler is ordered and the balance on commissioning, with the Gas Safe notification and warranty registration included.

Gas engineers in this example give the customer 14 days to pay, after a 30% deposit taken before the work starts. Hourly rates run from £50 to £90. A full day is typically £320 to £500.

What should a gas engineer put on an invoice?

Beyond the legal basics, gas engineers should:

  • Quote your Gas Safe registration number on every invoice; letting agents will not pay without it.
  • Put the property address on each line for landlords with several properties.
  • Reference the CP12 certificate number and the appliances tested.
  • For boiler installs, show the boiler model, the warranty length and the Gas Safe notification reference.

Every UK invoice, whatever the trade, must also show:

  • a unique, sequential invoice number
  • your business name and address (and company number if you trade as a limited company)
  • the client’s name and address
  • the invoice date and, for VAT invoices, the date of supply if different
  • a clear description of each item of work or goods
  • the amount due and when it must be paid
  • your VAT number, the VAT rate per line and the VAT total, if you are VAT registered

Do gas engineers charge VAT?

Construction work for a contractor falls under CIS: the contractor deducts 20% (30% if you are not CIS registered) from the labour element before paying you, so show labour and materials on separate lines. If you are VAT registered and the contractor is too, the domestic reverse charge applies and you charge no VAT; write "Reverse charge: customer to account for VAT" on the invoice. Work for private householders is outside both rules. Below the £90,000 registration threshold you charge no VAT at all.

On the Flat Rate Scheme the sector for gas engineers is usually “General building or construction services” at 9.5% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions

How much should a gas engineer charge for a CP12?
Landlord gas safety checks cost £60 to £95 in 2026 for one or two appliances, with £10 to £20 for each extra appliance. Many engineers bundle a boiler service with the CP12 for £130 to £160. Letting agents negotiate lower rates for volume and expect 30 day terms.
Does CIS apply to gas engineers?
Installing heating systems is a construction operation, so a builder or developer paying you deducts 20% from labour. Servicing, safety checks and repairs for landlords and homeowners are not under CIS. Separate labour from the boiler and parts on install invoices.
Do gas engineers charge VAT on boilers?
Yes at 20% if VAT registered, on both the boiler and the labour, for an existing home. Boilers in new dwellings are zero rated. Grant-funded installations under certain schemes have their own rules, so check before invoicing. Under £90,000 turnover no VAT applies.
