How do phone repairers usually invoice?

Phone repairers charge fixed prices per repair that include the part, paid on collection with the invoice as the receipt and warranty record, and a non-refundable diagnostic fee for water damage and faults that may not be fixable. The device model, IMEI and the part grade (original, OEM or aftermarket) are stated because warranty claims depend on them. Business customers with staff phones are invoiced monthly.

Phone repairers in this example are paid on receipt. Hourly rates run from £30 to £55.

What should a phone repairer put on an invoice?

Beyond the legal basics, phone repairers should:

  • Record the device model and IMEI on the invoice; it is the warranty record.
  • State the part grade fitted (genuine, OEM, aftermarket) and the warranty period.
  • Charge diagnostics as a non-refundable line for faults that may not be repairable.
  • Note that data was not backed up by you unless the customer paid for a backup service.

Every UK invoice, whatever the trade, must also show:

  • a unique, sequential invoice number
  • your business name and address (and company number if you trade as a limited company)
  • the client’s name and address
  • the invoice date and, for VAT invoices, the date of supply if different
  • a clear description of each item of work or goods
  • the amount due and when it must be paid
  • your VAT number, the VAT rate per line and the VAT total, if you are VAT registered

Do phone repairers charge VAT?

You only charge VAT once registered, which is compulsory when taxable turnover passes £90,000 in any rolling 12 months. Below that, show no VAT line and no VAT number. Once registered, this work is standard rated at 20%.

On the Flat Rate Scheme the sector for phone repairers is usually “Repairing personal or household goods” at 10% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Do phone repair shops charge VAT?
A one-person repair business is often below the £90,000 threshold and charges no VAT. Shops with higher volume or accessory sales are registered and charge 20% on repairs and parts. The flat rate sector for repairing personal goods is 10%.
What warranty should a phone repairer give?
