How do beauticians usually invoice?

Beauticians are paid per treatment at the end of the appointment, with courses of six treatments sold in advance at a discount and recorded so the client can see how many remain, and a deposit taken at booking for longer treatments to cut no-shows. Receipts come from the booking system; invoices are raised for bridal and event work and for product orders. Patch tests for tinting and some facials are required and should be recorded on the booking.

Beauticians in this example are paid on receipt. Hourly rates run from £25 to £55.

What should a beautician put on an invoice?

Beyond the legal basics, beauticians should:

  • State the treatment and duration on each line matching your price list.
  • Record courses with treatments bought, used and remaining on every receipt.
  • Take a booking deposit for treatments over about £50 and show it credited.
  • Note that a patch test was done where one is required; it matters for insurance.

Every UK invoice, whatever the trade, must also show:

  • a unique, sequential invoice number
  • your business name and address (and company number if you trade as a limited company)
  • the client’s name and address
  • the invoice date and, for VAT invoices, the date of supply if different
  • a clear description of each item of work or goods
  • the amount due and when it must be paid
  • your VAT number, the VAT rate per line and the VAT total, if you are VAT registered

Do beauticians charge VAT?

You only charge VAT once registered, which is compulsory when taxable turnover passes £90,000 in any rolling 12 months. Below that, show no VAT line and no VAT number. Once registered, these services are standard rated at 20% because they are not medical care supplied by a registered health professional.

On the Flat Rate Scheme the sector for beauticians is usually “Hairdressing or other beauty treatment services” at 13% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions

Should a beautician take a deposit?
Yes, a booking deposit of £10 to £20 or 25% of the treatment is now standard to reduce no-shows, taken by card at booking and credited on the day. State the cancellation window, usually 24 or 48 hours, and that the deposit is forfeited inside it. Show the deposit on the receipt.
Do beauticians charge VAT?
Only once registered, above £90,000 turnover. A self-employed beautician in a rented room is usually below that and charges no VAT. Salons with staff are registered and charge 20% on treatments and retail. The flat rate sector for beauty treatments is 13%.
How should a beautician record a prepaid course?
Invoice the full course price on the day it is bought, then issue a zero-value receipt for each treatment showing the number used and remaining. Put an expiry date on the course, typically six to twelve months. The full course price is income when paid.
