How do nail technicians usually invoice?
Nail technicians are paid per treatment at the end of each appointment with a card deposit taken at booking, and price nail art per nail or per set as add-ons listed on the receipt. Removal of a previous set is charged separately when it was not applied by the technician. Mobile technicians add a travel charge; those renting a desk in a salon pay a weekly rent and keep their own takings.
Nail technicians in this example are paid on receipt. Hourly rates run from £25 to £50.
What should a nail technician put on an invoice?
Beyond the legal basics, nail technicians should:
- List the base treatment and each add-on (art, removal, repairs) as separate lines.
- Take a booking deposit by card and show it credited on the receipt.
- Charge removal of another technician's work as a separate line.
- If you rent a desk, make sure receipts show your trading name, not the salon's.
Every UK invoice, whatever the trade, must also show:
- a unique, sequential invoice number
- your business name and address (and company number if you trade as a limited company)
- the client’s name and address
- the invoice date and, for VAT invoices, the date of supply if different
- a clear description of each item of work or goods
- the amount due and when it must be paid
- your VAT number, the VAT rate per line and the VAT total, if you are VAT registered
Do nail technicians charge VAT?
You only charge VAT once registered, which is compulsory when taxable turnover passes £90,000 in any rolling 12 months. Below that, show no VAT line and no VAT number. Once registered, these services are standard rated at 20% because they are not medical care supplied by a registered health professional.
On the Flat Rate Scheme the sector for nail technicians is usually “Hairdressing or other beauty treatment services” at 13% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.
