How do cleaners usually invoice?

Domestic cleaners charge by the hour and invoice weekly or monthly in arrears, listing each visit date and the hours worked so the customer can match it to their diary. Many take payment by standing order for regular slots and only raise an invoice for extras such as an oven clean or a one-off spring clean. Customers who supply their own products pay a lower rate than those who want the cleaner to bring everything.

Cleaners in this example give the customer 7 days to pay. Hourly rates run from £15 to £25.

What should a cleaner put on an invoice?

Beyond the legal basics, cleaners should:

  • List every visit date and the hours on that date, not just a total.
  • Say whether products and equipment are included in the hourly rate or charged on top.
  • Add a line for any extra task agreed by text message, with the date it was agreed.
  • State a cancellation charge for visits cancelled with less than 24 hours notice and apply it consistently.

Every UK invoice, whatever the trade, must also show:

  • a unique, sequential invoice number
  • your business name and address (and company number if you trade as a limited company)
  • the client’s name and address
  • the invoice date and, for VAT invoices, the date of supply if different
  • a clear description of each item of work or goods
  • the amount due and when it must be paid
  • your VAT number, the VAT rate per line and the VAT total, if you are VAT registered

Do cleaners charge VAT?

You only charge VAT once registered, which is compulsory when taxable turnover passes £90,000 in any rolling 12 months. Below that, show no VAT line and no VAT number. Once registered, this work is standard rated at 20%.

On the Flat Rate Scheme the sector for cleaners is usually “Any other activity not listed elsewhere” at 12% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions

Do cleaners charge VAT?
Almost never, because a self-employed domestic cleaner earning £15 to £25 an hour stays well below the £90,000 registration threshold. Only once registered do you add 20%. If you grow into an agency with staff, registration becomes likely and your prices to households effectively rise by 20%.
Should a cleaner invoice weekly or monthly?
Monthly in arrears suits regular customers and reduces admin: one invoice listing four or five visits. Weekly suits new customers until trust is established. For one-off cleans, invoice on the day and ask for payment before you leave or by bank transfer within 7 days.
Can a cleaner charge for a cancelled visit?
Yes, if the cancellation terms were agreed in advance, in writing or by message. A common rule is full charge for less than 24 hours notice and no charge beyond that. Show it as its own invoice line with the date of the cancelled visit so the customer understands what they are paying for.
