Fencer invoice template

A worked example for fencing contractors in the home, garden and cleaning category, with 2026 prices and the VAT rules that apply.

A fencer invoice should show a unique invoice number, your name and address, the client's details, the date, each item of work with its price, and the total due. Fencing contractors typically allow 7 days to pay and take a 30% deposit. VAT at 20% is added only if you are VAT registered.

How do fencing contractors usually invoice?

Fencing contractors quote per metre by fence type and height, take a deposit of around 30% when posts and panels are ordered, and invoice the balance on the day the last panel goes in. Gates, removal of the old fence and disposal are separate lines because customers often decide to keep or do some of it themselves. Winter storm repairs are charged per panel or per post and paid on completion.

Fencing contractors in this example give the customer 7 days to pay, after a 30% deposit taken before the work starts. Hourly rates run from £25 to £40. A full day is typically £220 to £340.

What should a fencer put on an invoice?

Beyond the legal basics, fencing contractors should:

  • Quote the fence type, height and length in metres on the invoice, matching the quote.
  • Show materials separately with the post type (concrete or timber) and panel style.
  • List gates, removal and disposal as their own lines.
  • State who owns the boundary and that the customer confirmed it, to limit neighbour disputes.

Every UK invoice, whatever the trade, must also show:

  • a unique, sequential invoice number
  • your business name and address (and company number if you trade as a limited company)
  • the client’s name and address
  • the invoice date and, for VAT invoices, the date of supply if different
  • a clear description of each item of work or goods
  • the amount due and when it must be paid
  • your VAT number, the VAT rate per line and the VAT total, if you are VAT registered

Do fencing contractors charge VAT?

Fencing is a construction operation, so a builder or developer paying you deducts 20% from labour under CIS and the VAT reverse charge applies between VAT-registered businesses. Fencing for householders is outside CIS. Below the £90,000 threshold you charge no VAT; above it the work is standard rated at 20%.

On the Flat Rate Scheme the sector for fencing contractors is usually “General building or construction services” at 9.5% of VAT-inclusive turnover, with a 1% discount in the first year of registration. If you spend little on goods you may be a limited cost trader and have to use 16.5% instead. The scheme suits businesses with few VAT-able costs; check it against the standard method with the VAT calculator before joining.

Frequently asked questions

How much does fencing cost per metre?
Supply and fit of 6 ft closeboard with concrete posts is roughly £90 to £130 per metre in 2026, lap panels £60 to £90 and post and rail £40 to £60, excluding removal of the old fence. Gates are priced individually. Prices vary with access and ground conditions.
Does CIS apply to fencing?
Yes when a builder or developer pays you, since fencing is a construction operation; they deduct 20% from the labour element. Householders paying directly do not operate CIS. Split materials from labour on contractor invoices.
Should a fencer take a deposit?
A 25% to 35% deposit when materials are ordered is normal because panels and posts are a large outlay. Put it on its own invoice describing the fence ordered. Repairs under about £300 are paid on completion without a deposit.
